You control what you share, how it's used, and when to opt out.

Purpose: This page explains how the Service Desk collects, uses, and protects information from participating organizations and individuals.

By engaging with the Service Desk, you consent to the practices described here.

What information we collect

During intake and onboarding

  • Organization name, location, and mission
  • Contact information for key participants
  • Details about your goals, challenges, and capacity
  • Information about funding, resources, and constraints

During sessions and workshops

  • Notes from discussions and consultations
  • Examples and case studies you share
  • Questions, feedback, and priorities

For measurement and follow-up

  • Pre-session surveys about your situation and needs
  • Post-session feedback about usefulness and satisfaction
  • Follow-up tracking surveys about implementation and outcomes

How we use this information

  • To deliver tailored support: We use what you tell us to customize advice, recommendations, and resources to your specific context
  • To improve the service: We analyze patterns across participants to refine our approach and develop better resources
  • To measure impact: We track outcomes to demonstrate the value of the Service Desk and report to funders
  • To share learnings: We may publish aggregated insights, case studies, or anonymized examples to benefit the wider field

Your control and rights

✓ You decide what to share. You're never required to disclose sensitive information.

✓Anonymity by default. We will automatically anonymize your organization in any written materials or presentations, unless we ask otherwise.

✓ Review before publication. If we want to feature your work as a case study, we'll share drafts with you first.

✓ Withdraw consent. You can ask us to stop using your information or remove it from our records at any time.

✓ Access your data. You can request copies of the information we hold about your organization.

How we protect your information

  • Information is stored securely in our workspace and shared only with Service Desk team members
  • We use secure communication channels for sensitive discussions
  • We follow data protection best practices and applicable privacy regulations
  • We don't sell, rent, or share your information with third parties for marketing purposes

Data retention

We keep session notes, surveys, and correspondence for as long as needed to:

  • Support ongoing relationships with participants
  • Demonstrate outcomes to funders
  • Build institutional knowledge and improve our methods

You can request deletion of your information at any time.

Sharing and publication

Sessions are strictly confidential. We will not publish anything in detail about individual sessions or discussions. The content of your consultations remains private.

We will not share any details about your organization or sessions with funders. Funders receive only aggregated data that combines information from multiple participants in ways that make it impossible to identify any individual organization.

We may share aggregated, anonymized insights with funders and publicly to demonstrate the Service Desk's value and identify common industry needs, such as:

  • Overall patterns in challenges and priorities (e.g., "70% of participants reported improved audience engagement")
  • Anonymized trends across multiple organizations
  • General lessons learned without attribution

All information shared with funders or the public will be fully aggregated and anonymized to ensure individual participants cannot be identified.

Only with your explicit written permission may we share identifiable information about your organization, such as:

  • Featuring your organization in case studies or testimonials
  • Including your specific results or outcomes in reports
  • Presenting your work as examples in workshops or conferences
